Frequently Asked Questions

How easy is it to set up?

There are two set up options for our digital  care management software. You can set up the system yourself or we can do it for you. If you set up yourself you will need to allocate some protected time. It will take around a week to set up if you upload your paper assessments and complete the CAREis assessments later. If you complete the CAREis assessments on set up it will take between 1 and 3 hours for each person that uses your service.

If we set you up, you will need to provide us with copies of your paper assessments and care plans and we will have you up and running within 3 weeks. Contact us for our latest prices for set up.

We have simple to follow installation guides that we can provide on request.

Will it save me money?

Our 18 bedded care home saves around £100 a month on ink and paper. There are also significant costs savings the more modules you use. For instance, if you are already paying for training and/or policies separately you should be able to save money through CAREis.

There are significant time savings by taking a digital care management approach to care records and audits. Research has shown how services which use digital care records save staff time on each shift, e.g. by them not having to search for records, flick through to the right page and decipher poor handwriting.  The time saving with digital care management software is said to be between 20 and 40 minute a day per carer.

Regulatory improvements gained from using CAREis can help increase occupancy and room rates. And with no physical archiving you can create more space and perhaps even increase capacity

CAREis does not charge you for devices. We give you required specifications so you can seek the most cost effective solution. You will then own your devices, not lease them from us. We can lock them down for you following purchase if required.

How can CAREis help me with CQC inspections?

With CAREis digital care management software, everything is one place. It is quick, easy and straightforward for any inspector or auditor to access the information for care and support, auditing, health and safety, training, supervisions etc. They can also review your action plans and see how you have responded to issues and incidents.

With care and support interventions being recorded in real time, you will be able to show inspectors and auditors that staff have more time with the people who use your service.  Digital care management software can be accessed remotely, which can be used to speed up review and make it easier to achieve.

I already have a GOOD or OUTSTANDING rating, so why should I move from paper to CAREis?

We recognise that people’s systems have been developed over time to meet their own specific needs. We therefore made CAREis adaptable to use the language you use and to ensure assessments, audits and other forms meet regulatory requirements and adapt to regulatory and legislative change.

With auditing and overview time reduced, managers have much more time to interact with staff and people within the service, meaning more time to innovate and improve the service. Your rating is only as good as your last inspection and services need to keep improving and innovating to maintain and improve their ratings.

With CAREis you have remote access to the system and this can be shared with other parties, depending on consent and need. During the COVID crisis units found CAREis helped massively in keeping communications open with relatives, who could view daily notes, pictures and messages. The local authority could remotely assess for DoLS, and also review care plans and assessments when needed. CQC and other auditors can also be given remote access to review services as well as specific audits and inspection records.
